General Conditions and Terms

I. – Data protection
In agreement with the European and Belgian privacy law, we, the Rotaract club of Brussels Coudenberg International, is allowed to:
1. Collect the personal information given freely in this document
2. Use this information for any purpose – including marketing purposes – related to the Rotaract club of Brussels Coudenberg International and it’s current and future international weekends
3. Take pictures of you during the event and use those pictures for any purpose – including marketing purposes – related to the Rotaract club of Brussels Coudenberg International and it’s current and future international weekends

II. – Registration and Payment
1. Submission of the registration is not a confirmation. Confirmation takes place after payment.
2. The package must be paid within 5 days of registration. If not, the registration will be cancelled.
3. An e-mail with proof of payment must be send to internationalweekend@rotaract.brussels.
4. Payment is limited to bank transfer only.
5. All costs of international transfers are fully on the account of the participant

III. – Cancellations
1. Cancellations are possible only before payment.
2. Refunds are not possible.
3. In case you are not able to attend the international weekend, you can nominate an alternative person taking place on your behalf.
4. In both above cases for cancellation and new person nomination please contact our team: internationalweekend@rotaract.brussels.

IV. – Visa:
If you need a visa, you will only be provided an invitation letter if you booked a package with accommodation and after payment has been received.

V. – Liability
Rotaract Brussels Coudenberg International and its members are not responsible for any personal injury, death or accident of the participant, nor for any loss or damage of property of the participant

VI. – Miscellaneous
1. To be able to check-in at the international weekend, a valid mean of identification such as ID card or passport is required.
2. The rooms will be allocated in order of the incoming registrations. In case your chosen package is not available or the registration wave has sold out after your registration has been received, our team will get in touch with you.
3. The package only contains the services that are explicitly stated as included.
4. Unfortunately we are not able to provide you the option of an extra night as part of the international weekend package, if you wish to stay longer you will be able to book your extra night through NH Collection Brussels Centre (http://www.nh-hotels.com/hotel/nh-collection-brussels-centre).
